Convert a PDF Quotation to an Excel Spreadsheet Using Zapier

Step 1: Set Up the Google Drive Trigger

Create a Zap and select Google Drive → New File in Folder.

Connect your Google Drive account and choose a folder dedicated to incoming PDF quotations.

Upload a sample quotation PDF, test the trigger, and select the sample file.

Step 2: Connect PDF.co

Add PDF.co → PDF to Anything Converter.

Connect your PDF.co account by signing in and authorizing Zapier through OAuth.

Step 3: Configure PDF-to-XLS Conversion

Complete these fields:

• Output Format: Select XLS spreadsheet.
• Source PDF URL: Map the File output from the Google Drive trigger.
• Page Selection: Leave blank to convert all pages. Enter 0 to convert only the first page.
• Output File Name: Enter a name such as quotation.xls.
• Inline Output Option: Select No / false to receive a downloadable file.
• OCR Language for Scanned Documents: Select the document’s language if the quotation is scanned.

Step 4: Test and Save the Spreadsheet

Test the PDF.co action and download the spreadsheet from its returned url.

Open it in Excel or another compatible spreadsheet application. Check the item descriptions, quantities, prices, totals, and column alignment against the source quotation.

To save the result automatically, add Google Drive → Upload File:

• Folder: Select a destination folder separate from the incoming PDF folder.
• File: Map PDF.co’s output url.
• File Name: Map PDF.co’s output name.

Test the upload and confirm that the spreadsheet is saved. This retains a copy before PDF.co’s temporary URL expires. Google Drive action documentation

Step 5: Publish the Zap

Publish the Zap after testing. New PDF quotations added to the selected folder will be converted and saved as XLS spreadsheets.
